Vaccine Ordering 101
The most important point to remember is to have vaccines available and in your refrigerator so your patients don’t miss a dose. Below are guidelines to maximize your savings.
Set up your direct online accounts. This way you may order vaccines anytime without waiting on customer service hours and you may easily view past and future shipments. Also, Sanofi Pasteur’s Vaccineshoppe or VaxServe websites give you a 1% discount for ordering this way.
Make sure you’ve sent in your MPPG membership form or joined MPPG on-line. Contact us as soon as you’ve been issued your direct vaccine account numbers so we can inform the manufacturers of your status with our group. Wait for a confirmatory e-mail from us before placing orders. Usually, this only takes a day or two. Keep in mind however, It can take up to two weeks.
PLAN your orders so you don’t find yourself in a pinch. Schedule recurring reminders in your calendar. In general, have vaccines shipped earlier in the week so you’re stocked for Friday then Monday, Tuesday of following week. Inventory planning prevents any added overnight shipping expenses.
Adjust orders for heavier volume months ie: the summer months and requirements for back to school physicals. Regularly monitor inventory. Avoid over stocking to protect practice cash flow. PLAN around holidays, office delivery hours and take advantage of the occasional vaccine promotion.
Merck vaccines may be ordered either through Merck directly (800) MerckRx , www.merckvaccines.com, or for an extra 1% discount, through one of Sanofi Pasteur’s sites www.vaccineshoppe.com or www.vaxserve.com. This is what we recommend. Ordering through your local Merck Vaccine Representative many be done as well. Either way, make sure your practice is linked to the Merck contract pricing. Pay all invoices on time for another 2% discount. Payment terms are 60 days.

Influenza Vaccines: Mark your calendar each year.
“Pre-booking” or reserving flu vaccine orders may be done as early as January each year, but should be done before March 31st for fall shipments. Plan your order carefully to avoid large returns ( aim for no more than 10% to be returned ). Flu vaccine returns start in May and should be done before July. Check with Sanofi Pasteur for exact dates each season. There are deadlines for receiving credit for your returns.
An important note about other manufacturers’ vaccines on Sanofi Pasteur’s website www.vaccineshoppe.com: The best pricing on your contracted vaccines ordered through www.vaccineshoppe.com or www.vaxserve.com will be on the following vaccine brands: Sanofi Pasteur, Merck and Dynavax.
Always plan to get vaccine bills paid on time, this gives you a 2% discount and keeps your practice in good standing with the manufacturers. Avoid credit hold, it results in vaccine shipments being held or delayed. Vaccineshoppe gives you 60 day payment terms.

AstraZeneca manufactures the influenza vaccine FluMist® Quadrivalent (LAIV4). Flumist is only sells through distributors FFF Enterprises (800) 843-7477 and McKesson Medical Surgical (877) 625-4358. As with other influenza vaccines, FluMist® should be “Pre-Booked” to obtain early ordering discounts and potential shipping guarantees.
Although customer service is helpful, request a visit from your local Professional Vaccine Representatives for Merck, Sanofi Pasteur, Dynavax & Pfizer. They are your key contacts with these companies and clinical experts on their vaccines.
Occasionally there are additional discounts on top of our contract pricing which we send e-mails about so you can take advantage of promotions as much as possible. Conversely, we’ll also send e-mails if there are pricing increases so you can order vaccines before the date of the increase.
Other practices have shared that paying invoices with a credit card that gives cash back, points or miles has been advantageous. Evaluating credit cards that would be a good fit for your practice might be something worth looking into.
Return any unopened expired vaccine vials as soon as possible and no later than 1 year post expiry date to receive credit. Many vaccines are credited 100% of your purchase price.
